FACILITY RESERVATIONS

       Thank you for considering the City of La Mirada for your facility reservation. The City of La Mirada offers an outstanding selection of public facilities, and takes pride in serving our residents’ facility needs. The following rules and regulations have been developed to make your reservation experience a positive one.

General Rules 

Facility users shall not practice or tolerate discrimination because of race, color, religion, sex, national origin or disability in the use of public facilities. 

APPLICANT/permittee must make application in person to the Community Services Department. All related paperwork, payment of fees, insurance, and other communication will be made and coordinated with the applicant only. 

All reservation fees are payable by personal check, credit card, cashiers check or cash.  Absolutely no personal checks will be taken within three (3) weeks of a scheduled reservation. All fees must be paid in full no later than one (1) week prior to the reservation. 

All applications must be made at least 15 working days in advance of the reservation on an official City of La Mirada application form. 

Reservations may be made up to 12 months in advance. 

Application is approved only upon the signature of the Director of Community Services of the City of La Mirada.  Do not make any definite plans or commitments until approval is issued and a confirmation is received. The City of La Mirada and its staff reserve the right to refuse use of a facility if in its opinion the planned reservation is not appropriate usage for that facility. 

Any cancellation of scheduled use of facilities, or any changes in hours or conditions indicated on the original reservation application, must be done at least 7 days prior to the scheduled reservation.  A cancellation fee equaling 20% of the deposit will be charged if cancelled less than 5 working days before your reservation date. 

Insurance must be purchased through the City of La Mirada JPIA Special Events Insurance Program.  Please see schedule of fees on the application form and on page 7. Please note: insurance fees are non-refundable once the reservation takes place. 

City sponsored events take priority over all other usage of the facilities. 

A minimum rental of 2 hours is required on all facilities.  Reservations may be made for a maximum of 5 hours, not including clean up time.  Clean up time is limited to 1 hour; set up time is limited to 2 hours. 

Only time stated on the application will be granted for usage. All decorating, set up, event time & cleaning time, must be stated on the application. Additional fees will be charged if the reservation goes beyond the stated time.  If additional time for clean up is needed, it will be billed at 2 times the hourly rate. 

For reimbursement of the security deposit, the facility must be left without damage according to all guidelines. The staff on site and Community Services administrative staff will determine if APPLICANT has complied.  Questions and concerns can be directed to staff on site or their supervisor.  Please allow 15 working days after the event to receive your security deposit by mail. 

No event may exceed 250 persons at the La Mirada Activity Center multi-purpose room and 150 persons at the Neff Barn.

Attendance may not exceed the attendance amount indicated on the appication or for which insurance has been obtained.

In the event the use of the Facilities requires extraordinary Sheriff's response, USER shall be responsible for the costs as provided in Section 9.98.010 of the La Mirada Municipal code.

No alcoholic beverages including beer and wine or illegal drugs may ne in possession or consumed on the Facilities, inluding parking areas. Further use of the Facilities will be denied to any USER found consuming alcoholic beverages or illicit drugs on Facilities. A report of these types of incidents will be forwarded to the Community Sheriff's Station for appropriate action. 

Reservations are subject to cancellation if attendance goes over the attendance indicated on the application and agreement for use of the facility.

Who Can Reserve? 

Reservations must be made by La Mirada groups or residents only. 

The reservation APPLICANT must be a La Mirada resident and show proof of this residency by presenting a picture I.D. and utility bill to Community Services staff upon submittal of reservation application. 

Non-profit organizations must be registered with the State of California with a current non-profit tax I.D. number, have a La Mirada mailing address, have at least 75% of its members residing in La Mirada, and have a La Mirada resident as the authorized representative reserving the facility. 

Commercial for-profit use of City facilities is not permitted.  However, if a La Mirada business wishes to use a City facility for a company function, it must have a La Mirada address and City of La Mirada Business License on file with the City of La Mirada Finance Department. 

Facilities are not available on holidays and holiday weekends due to STRONG DEMAND FOR City facilities on such occasions. 

What’s Availiable? 

The La Mirada Activity Center Multi-Purpose Room is available for reservations on Saturday and Sunday from 10 a.m. to 11 p.m. with clean up from 11 p.m. to midnight. 

La Mirada Resource Center Meeting Rooms are available for non-profit organizations. Room reservations can be made Monday - Friday from 8 a.m. to 10 p.m. and Saturday from 8 a.m. to 3 p.m. 

Neff Barn is available between 10 a.m. and 5 p.m. with clean up from 5 p.m. to 6 p.m. 

Gardenhill, Windermere and City Hall Community Centers are available for usage by recognized La Mirada non-profit Community Groups only. 

During & After 

No equipment or materials shall be removed from any building or facility. 

Permittees will be required to have not less than one adult chaperon for each 10 minors present during use of the facilities. 

No solicitation of donations, contributions, or sale of anything of value for any purpose shall be allowed on any City facility without prior written approval. 

Music/noise must be kept at a reasonable volume, as indicated by Community Services staff.  If the volume exceeds “reasonable” level as determined by staff, the event will be immediately cancelled.

Live or amplified music is permitted for reservations at the La Mirada Resource and Activity Centers. In order to minimize potential disruption to the use and enjoyment of adjacent properties, music/noise levels shall comply with La Mirada Municipal Code Sections 9.04.010 and 9.04.050. Failure to comply with this requirement shall result inimmediate suspension of the reservation. No live or amplified musicis allowed in other City facilities, with the exception of the La Mirada Theatre for the Performing Arts. 

No decorations shall be displayed, installed or provided by permittee, which may damage or deface the building.  Existing decorations may not be removed.  The permittee is responsible for removing all of their own decorations and trash at the end of their reservation. No staples, nails, or tape may be used on any building surface or tables. 

Place trash in the trash cans and dispose in dumpsters provided. Pick up and mop large debris and/or spills in facility, kitchen and restrooms.  Check with staff on duty to insure that facility is left in an acceptable manner, and initial the reservation form. A staff member will assist permittee, but is not responsible for clean up. It is the responsibility of the permittee. 

APPLICANT/permittee agrees to adhere to all of the foregoing rules and guidelines.  Failure of APPLICANT/permittee to follow the foregoing rules and guidelines will result in the forfeiture of all fees and deposit. 


Schedule of Fees

Reservations will be evaluated on a case-by-case basis by Public Safety to determine if a reservation requires staffing by Public Safety Officer(s). The staffing fee will range from $0 to $60 per hour.
